Whether you’re creating a learning story or writing a parent update, Educa Assist offers suggestions to help you do your best work more easily.

Purposeful by Design
Privacy starts with a clear purpose. We build every feature and tool with a clear goal: to support your teaching practice, not to replace it. Educa Assist was developed with direct input from ECE teachers, designed to enhance what you already do well. Your ideas, observations, and insights remain completely yours.
Private & secure
We believe trust starts with transparency. What you write stays yours. No personal information about you, your centre, or your children leaves Educa. AI-powered features only use the text you enter, and it’s processed securely and in line with our privacy commitments.
You’re in control
Educa Assist is entirely optional. You choose when and if you want to use these tools to support your workflow. Admins can enable or disable it at the site level, and even when it’s on, you control what to send and what to keep.

We’re always listening and learning. Educa Assist will continue to grow, guided by your feedback and improvements in technology, to stay relevant and useful in your daily work.

AI Tools & Your Data
- Why we use AI – Some optional Educa tools (e.g., spelling, grammar, translation) run on our trusted AI partner services.
- No training use – Our AI partners do not use your Educa data to train their public models.
- Automatic deletion – Data is deleted or anonymised within 30 days of processing, unless required by law to retain it longer.
- Text-only transfer – We only send the words you type into Educa text boxes (e.g. learning stories). Media files, child identifiers, and anything else stored in Educa never leave our servers.
- End-to-end encryption – Everything we transmit or store is encrypted in transit and at rest.
- Your choice – Site admins can switch AI tools on or off at any time; when off, no data can be sent to AI providers.
- Check before you share – AI suggestions can be wrong or incomplete; you’re responsible for reviewing and editing output before publishing.
- Liability – Any issues that slip through are covered by the same liability cap in clause 23 of our Terms & Conditions.
- Aggregated insights only – We may analyse aggregated, de-identified usage statistics to keep improving these tools; individual stories are never inspected.
- Law-compliant – Everything here follows the NZ Privacy Act 2020, AU Privacy Act 1988, GDPR Article 22 and CCPA rules on automated processing.
- Staying up to date – We’ll let you know if these AI terms change; continuing to use the tools means you accept the update.
- Data processing locations – Our AI service providers may process data in various regions including the US, EU, and Australia.
- Your rights – You may request information about your data or exercise your rights by contacting our support team at support@educa.com.
